Privacy Policy
Your privacy is important to me. This privacy policy explains how I collect, use, store and protect your personal information when you visit this website, contact me, or work with me as a therapy client.
Who I am
I am Mica Casotto, a counsellor and psychotherapist offering therapy online and in person from Stapleford, Nottingham.
For the purposes of UK data protection law, I am the Data Controller for the personal information I hold about you.
You can contact me at:
Email: micapsychotherapy@gmail.com
Telephone/WhatsApp: 07464665128
ICO registration number: ZC235116
Information I may collect
When you contact me or begin therapy, I may collect information including:
your name and contact details
information you provide through the contact form on this website
information shared by email or WhatsApp
information relevant to arranging and providing therapy
emergency contact details, where appropriate
brief therapy records or notes
appointment and payment information
correspondence between us
Because of the nature of psychotherapy, you may also choose to share sensitive personal information relating to areas such as your physical or mental health, relationships, sexuality, sexual orientation, identity, racial or ethnic background, beliefs or other personal experiences.
Some of this information is classed as special category data under UK data protection law and receives additional protection.
How I use your information
I use personal information where necessary to:
respond to enquiries
arrange initial consultations
arrange and provide therapy sessions
communicate with you about appointments
maintain appropriate clinical and administrative records
process and record payments
provide therapy safely and professionally
meet my ethical, professional, insurance and legal responsibilities
I do not sell your personal information or use information disclosed during therapy for marketing purposes.
Lawful basis for processing your information
I process personal information where this is necessary to provide and manage my professional services and where I have a legitimate interest in operating my private practice safely and effectively.
Where I process special category information, such as information relating to your physical or mental health, I will only do so where an appropriate legal condition applies under UK data protection law.
Confidentiality
Information you share with me as part of therapy is treated as confidential.
I receive regular clinical supervision as part of safe and ethical therapeutic practice. I may discuss aspects of my client work with my clinical supervisor, but identifying information will be kept to a minimum wherever possible.
There are limited circumstances where I may need to share information without your consent. These may include situations where I believe that you or another person is at serious risk of harm, where there are safeguarding concerns involving a child or vulnerable person, or where I am legally required to provide information.
Where possible and appropriate, I would aim to discuss this with you before sharing information.
Confidentiality and its limits will be discussed with you when we begin working together and will also be explained in our therapy agreement.
Contacting me through this website
This website is hosted by Squarespace.
If you complete the contact form, the information you enter will be submitted through the Squarespace website and sent to me at micapsychotherapy@gmail.com.
Please avoid including detailed or highly sensitive therapeutic information in the initial contact form. A brief explanation of what you are looking for is sufficient.
If you make an enquiry but do not go on to become a client, I will only retain your information for as long as reasonably necessary before securely deleting it.
Email and WhatsApp
Email and WhatsApp will be my main methods of communication outside therapy sessions and may be used for enquiries, appointment arrangements and other practical communication.
WhatsApp video may also be used for initial consultations.
Although reasonable security measures are used by these services, electronic communication cannot be guaranteed to be completely secure. I therefore recommend using email and WhatsApp primarily for practical communication rather than detailed therapeutic conversations.
Online therapy
Online therapy sessions may take place using Zoom or Microsoft Teams.
These services operate under their own privacy and data protection policies. I will take reasonable steps to use them in a way that protects your privacy and confidentiality.
Therapy records
I keep appropriate records relating to our therapeutic work. These records are stored securely and access is limited.
Where reasonably possible, identifying information will be kept separately from therapeutic notes.
Therapy records are retained for seven years after our work together ends, in line with my professional record-keeping requirements. After this period, they will be securely destroyed.
Financial records may be kept separately for the periods required by HMRC and other legal obligations.
How your information is stored
Electronic records are stored using password-protected devices or services and reasonable security measures are taken to prevent unauthorised access.
Any paper records will be stored securely.
I aim to collect and retain only the information that is reasonably necessary for providing therapy and managing my professional practice.
Website information and cookies
When you visit this website, Squarespace may process certain technical information required to operate and secure the website, such as your IP address, browser or device information.
Where you have given permission, cookies may also be used to provide information about how visitors use the website.
More information is available in the Cookie Policy.
Your rights
Under UK data protection law, depending on the circumstances, you may have the right to:
ask what personal information I hold about you
request a copy of your personal information
ask for inaccurate information to be corrected
ask for information to be deleted in certain circumstances
ask for the use of your information to be restricted
object to certain ways in which your information is used
Some of these rights may be limited where I have a professional, safeguarding, insurance or legal reason for retaining information.
If you would like to exercise any of these rights, please contact me at micapsychotherapy@gmail.com.
Concerns or complaints
If you have concerns about how I have handled your personal information, please contact me at micapsychotherapy@gmail.com so that I have an opportunity to address them.
You also have the right to raise a concern with the Information Commissioner's Office (ICO), the UK's independent data protection regulator.

I may update this privacy policy from time to time to reflect changes to my practice, the website, the services I use or data protection requirements.
